Service Agreement

These are the terms for using TeX2Vid (tex2vid.sheqai.com), operated by SheQAI Research (Edmonton, Alberta, Canada). By creating an account or uploading a paper you agree to them. How we handle your data is in the Privacy Policy; our public video index has its own ScholarReels Service Agreement.

The service

TeX2Vid turns a research paper's LaTeX source into narrated videos — Research Teasers and Shorts (vertical, for social media) and Research Highlights and Video Abstracts (16:9, for conferences and journals) — with slides, a transcript, and an independent faithfulness review of the claims against your paper.

What you may upload

  • LaTeX source only (.tex, .zip, .tar.gz), up to 50 MB.
  • Every upload requires your certification that you have the right to upload the paper — as an author or co-author, with the authors' permission, or under an open license (e.g. CC BY 4.0). You are responsible for that being true.
  • No unlawful content, and no content you don't hold the rights to.

Fair use

  • Free teasers are seat-limited per continent and per user.
  • Submissions are rate-limited (at most 12 renders in progress and 12 per hour per connection). Don't script around the limits or otherwise abuse the service — we may refuse service or close an account that does.
  • You can have up to 5 SheQAI Expert Edit orders awaiting payment at a time. To start another, pay for or delete one of them from your account page. An order left unpaid for 14 days is cancelled, and the paper you uploaded with it is deleted. Once an order is delivered or cancelled, the paper you uploaded with it is kept for 90 days and then deleted — the same window a paid render's files get. While an order is still in progress its paper is kept for as long as the work takes.

Payments, credits, and refunds

  • Paid renders are paid in credits; current prices are on the pricing page. Payments are processed by Stripe and PayPal. Free formats cost no credits.
  • Subscriptions can be cancelled any time and run to the end of the paid period, then stop. Cancelling does not refund the current period (there is no partial-period or prorated refund).

Refund policy

A credit for a paid render is charged only when the render starts — after we have read your paper and (where shown) you confirm. This policy reflects exactly how the service behaves.

  • Refused before rendering — no charge. If your upload doesn't contain enough usable paper content to ground a video (for example an empty, near-empty, or unreadable/garbled file), we refuse it before a render starts and no credit is charged.
  • Failed paid render — automatically refunded. If a paid render is charged but does not deliver a usable video, the credit is automatically refunded — you do not need to ask. This covers: the slides could not be compiled; the render crashed, timed out, or our AI service was overloaded; no video file was produced; the video failed our delivery check (for example it came out unusably short or silent); or a server restart interrupted your render.
  • AI-service outages. During a temporary AI-service outage, a paid render is never completed on a quality-hampering AI model — if a comparable high-quality model isn't available, the render fails and is refunded (above).
  • Refunds return credits to your balance. A render paid with a credit is refunded as a credit to your balance. A subscription grants its monthly credits into that same balance (they combine with credits you buy and never expire), so a subscriber's render is paid — and refunded — in credits just like any other.
  • Multi-format orders. When you order more than one format together, each format that fails is refunded its own proportional share of what you paid for that order.
  • Pro and administrator renders are re-run, not refunded. A Pro subscription (and an administrator account) does not spend a per-render credit, so if such a render fails there is nothing to refund — we ask you to try again (an outage usually clears within minutes).
  • Studio edits and voice re-renders. Every paid render includes editing and voice recording in the studio, with a per-render re-render budget (2 re-renders; 3 for a Video Abstract). These re-renders of an already-delivered video use no additional credit and are not separately refundable.
  • Free renders. A free video costs no credits, so a failed free render is not refunded (nothing was charged).

Payment refunds and chargebacks

  • Credit refunds for failed renders are automatic (above). There is no separate in-app cash-refund request; for billing questions contact [email protected].
  • A payment refund or chargeback on a credit purchase (through Stripe, PayPal, or your bank) reverses the credits it paid for — removed from your balance down to zero (we never create a negative balance, and any videos you have already rendered are yours to keep). A chargeback or payment dispute also suspends paid features on your account pending review.
  • Remaining credits are forfeited if you delete your account.

Your video

  • You keep your rights in your paper, and the rendered video is yours to use. Free-tier teasers carry SheQAI branding; paid renders are unbranded. You can choose to mark your video CC BY 4.0.
  • The video is AI-generated. Our layered grounding checks and the independent faithfulness review are designed to keep every claim faithful to your paper, but the review is advisory and can contain false positives or miss something — review your video before using it in a scholarly context. The service is provided as-is, without warranty.
  • Publishing a video to our public index is optional and governed by the ScholarReels Service Agreement.

Retention

Uploads and rendered files are kept about 30 days (free) / 90 days (paid) — about 30 days for an anonymous render — then automatically deleted; download what you need within the window. Details in the Privacy Policy.
