Privacy Policy

This policy covers TeX2Vid (tex2vid.sheqai.com), operated by SheQAI Research. It describes exactly what we collect and how we use it. We collect the minimum needed to run the service, we run no third-party advertising and no cross-site tracking, and we never sell your data. Our public video index, ScholarReels, has its own privacy policy.

Your account

  • Your email address, and — if you set a password — a salted pbkdf2-SHA256 hash of it (your actual password is never stored). New email signups are confirmed by a one-time link before the account can sign in.
  • Optionally, the profile details you choose to add (display name, bio, links). You can edit or clear them on your account page at any time.
  • If you sign in with Google, Microsoft, Apple, ORCID, or your institution's single sign-on, we store only your account identifier at that provider and the name and email address the provider shares — never your password with them. One SheQAI account works across our services.
Google user data. If you sign in with Google we request only your basic profile: name, email address, and Google account ID. We use them solely to create and sign you into your SheQAI account and to email you about your own renders. We do not use Google user data for advertising, we do not sell it, and we do not share it with third parties except the service providers below as needed to run the service. SheQAI's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Your papers, videos, and recordings

  • You upload LaTeX source only (.tex, .zip, or .tar.gz). To produce your video, the paper's text is processed by the AI language-model service we use to write and verify the script, and the narration text by an AI voiceover service that synthesizes the audio.
  • If you use the studio to record your own voice, the audio clips are stored with that render and used only to produce your video. Any slide edits you make are stored with the render too.
  • Automatic deletion: the uploaded paper, its extracted text, recordings, and the rendered files are erased after the retention window — about 30 days for a free account, 90 days for a paid one, and about 30 days for an anonymous render. The render's record (title, status) is removed about a month after its files.
  • If you choose to publish a video to our public ScholarReels index, the ScholarReels privacy policy applies to what becomes public.
  • If you send feedback on a render, we keep the message and any name/email you include with it.

Payments

Payments are handled entirely by Stripe and PayPal — your card or wallet details go directly to them and never touch our servers. We store only the transaction reference, the amount, and your credit balance, so we can apply your purchase and handle refunds or disputes.

Technical data (security and abuse prevention)

  • Sign-in attempts: the IP address of a failed sign-in is recorded for rate-limiting and deleted after 24 hours.
  • Uploads: the submitting IP address is recorded with each render to enforce the submission rate limit, and is erased within 90 days. A coarse country code and network code — provided by our network provider, not derived from a stored IP — is kept with the render record for aggregate statistics.
  • Free-render counting and email/signup throttles use a one-way SHA-256 hash of the IP (and, for free renders, an anonymous cookie) — the raw address is never stored for these.
  • We do not store your browser's user-agent.

Cookies

We set one signed session cookie to keep you signed in, and — for signed-out visitors — one random cookie to count free renders. Both are functional; neither tracks you across other sites. On the checkout page, Stripe's script may set its own fraud-prevention cookies. We use no advertising or third-party analytics cookies. (Our pages carry a Google AdSense site-verification tag only; we do not serve ads today, and this policy will be updated first if that ever changes.)

Analytics

The only usage analytics we run is our own self-hosted, cookieless page-statistics tool, processed on our own infrastructure. It sets no cookies, builds no advertising profile, and cannot follow you across other sites. We use no Google Analytics and no third-party trackers.

Who your data reaches (service providers)

  • AI service providers — the language-model service that writes and verifies your video's script from your paper, and the voiceover service that synthesizes the narration audio.
  • Stripe / PayPal — payment processing (they receive the card/wallet details; we don't).
  • Your sign-in provider (Google, Microsoft, Apple, ORCID, or your institution) — only if you choose to sign in with one.
  • Cloud service providers — the servers the service runs on, and the network security / content-delivery provider that routes every request.
  • Our email delivery provider — to deliver the transactional emails below.
  • Google Fonts — our pages load fonts from Google's CDN, so Google receives your IP address when a page loads.
  • arXiv — we look up a paper's public metadata (title, authors) by its arXiv ID; no personal data is sent.

We do not share your data with anyone else, and we never sell it.

Emails we send

Transactional only: signup confirmation, password reset, sign-in-method confirmations, and notifications when your render finishes or fails. We send no marketing email.

Your choices and rights

You can view, update, or clear your profile on your account page at any time. Changing your password signs out every other session. You can delete your account yourself from the account page ("Delete my account") — this permanently removes your profile, renders, uploads, and recordings. What is retained after deletion: financial transaction records (bookkeeping), and any videos you published to ScholarReels together with their attestation record, which is a permanent public record — see the ScholarReels policy. To request a copy of the data we hold about you, email us.

Changes to this policy

If we change what we collect or who processes it, we update this page and its date first.
